Application

All applications must be submitted online via Mobility Online.

Please note that this link for applications can only be used to register for a short-term (KWA) stay abroad. If you wish to register for a different exchange programme, you must use the link for applications on that programme's website. You cannot use this link to register for a different programme by simply changing the exchange programme! 

  1. Start by reading the guide on how to apply via Mobility Online
  2. Make sure that you have all the necessary documents and that they have been signed
  3. --> To applications (you will need your u:account user name and password!)
  4. If you have already submitted an application, you can use this link to log in directly to your application and retrieve it.

If you have problems with the subsequent login (if, for example, a new application form is shown and you have to fill in all the information again), please close all browser windows completely or use a different browser (e.g. Google Chrome).

Application Documents

The documents can be submitted in German or English.

Electronically:

  • Online application form
  • CV including a list of publications
  • Detailed description of the research project (please use this template and see also the checklist under Downloads):
    • topic, methodology, information concerning preparation already carried out and justification of the need to carry out the proposed research abroad (3 A4 pages max.)
    • task- and time schedule (1 A4 page max.)
    • bibliography (1 A4 page max.)
    • where necessary, a questionnaire for interviews or surveys
  • Academic records to date: transcript of records (“Sammelzeugnis”) from the University of Vienna and certificates of study from other universities as appropriate
  • Proof of acceptance of the proposed subject and supervision of diploma/master/doctoral thesis (stamped and signed)
    • Please use the “Subject and supervision of diploma/master’s thesis” form (“Thema und Betreuung der Diplomarbeit/Masterarbeit”) if you are working on a diploma/master’s thesis
    • Please use the “Notification of subject for doctoral thesis” form (“Anmeldung des Dissertationsthemas”) or the “Dissertation Agreement” (“Dissertationsvereinbarung”) if you are working on a doctoral thesis
  • Written confirmation from the foreign institution or from the person responsible for supervision abroad concerning supervision and/or feasibility; if interviews need to be conducted, proof of consent from the proposed interviewees

All uploads must be uploaded as pdf documents. 

Hard copy or e-mail:

  • Letter of recommendation from your academic supervisor at the University of Vienna

The letter of recommendation should be signed and e-mailed directly to kwa@univie.ac.at by the supervisor. In particular, the letter of recommendation should contain a detailed discussion of why the proposed research visit is necessary.


Selection procedure

Award:

KWA funding is awarded on the basis of reviews by expert jurors according to competitive criteria (1. necessity of the stay, 2. feasibility of the project abroad and quality of the preparatory work already carried out, 3. previous course of studies (grades), 4. academic qualification of the candidates) and within the limits of available funds.

Decision:

  • Applicants will be informed via e-mail of the results of the selection procedure immediately after the meeting of the Selection Committee (approximately 6-8 weeks after the deadline).
  • If you have been awarded a grant, please fill in the “declaration of acceptance” (“Annahmeerklärung”) attached to the notification of award and upload it to Mobility Online by the deadline.
  • Compliance with the formal requirements for application does not confer any legal right to financial support. Grants will be awarded on the basis of competitive criteria and according to the availability of funds. There is no right of appeal.

The KWA grants are funded from public funds as well as by the funding body, the Allgemeine Hochschulstipendienstiftung für Wiener Hochschulen.

 

Payment:

The grant will be paid out following receipt of the declaration of acceptance.


The end of your stay

Report:

Not later than one month after termination of the stay abroad, the following documents must be uploaded via Mobility Online:

  • The report form (online form)
  • The report (progress report and personal experiences, 1-2 pages)
  • The confirmation of stay (“Aufenthaltsbestätigung”) signed by the host institution(s)
