Information regarding the end of your stay

There are a couple of things that need to be considered at the end of your stay: 

1. Certificate of Departure

Home universities usually require a certificate of departure from their Erasmus+ students. Please clarify with your home university in due time before your departure if they need a certificate of departure and if so, whether they require a particular form to be filled in.

In case you need a certificate of departure, it is absolutely necessary that you come to the International Office to de-register in person. It is not possible to confirm your individual dates of your stay without your personal de-registration. If your home university does not accept our Certificate of Departure but requires an own form to be filled in, please bring this form with you when you come to the International Office.

The Certificate of Departure can be issued not earlier than five days before the end of your study-related activities in Vienna.

Should you need to stay in Vienna because of study-related reasons (such as exams, writing papers, library research, etc.) and you therefore have to stay in Vienna after the end of the semester, it is possible to confirm your attendance even outside the semester dates. The International Office cannot confirm dates after the end of the semester without study-related reasons. Without personal de-registration the International Office cannot confirm any dates outside the semester dates.

Should you need a signature on a form that confirms any subject-specific details (e.g.: the language of instruction or the date of your last exam), it has to be signed by your mobility coordinator. Subject-related details cannot be confirmed by the International Office.

2. Transcript of records ("Sammelzeugnis")

The transcript of records lists all your grades and documents which courses you completed during your ERASMUS stay.

Please keep in mind that the transcript of records only lists the courses for which you received a mark based on your performance (such as a written exam at the end of the semester, a seminar paper etc.). In case you do not need any ECTS or grade for a course but only a confirmation of attendance, you have to discuss this matter with the course instructor already at the beginning of the semester. However, these kind of confirmations will not show up in your transcript of records.

Please note that marks for the winter semester can be entered until 30 April, marks for the summer semester until 30 November (end of enrolment); therefore, your transcript of records might not include all your marks when you print it. Your marks will only be in your transcript of records once they show up in your u:space account (menu item "Records of Examinations"). Due to technical reasons it might happen that grades which you can see in u:space under the item "Records of Examinations" do not yet appear in the transcript of records already on the same day.

As we do not know when all your marks are registered in your transcript of records, the International Office will not automatically send your transcript of records to your home university.

There are a couple of possibilities how you can obtain your transcript of records:

  • Print it via u:space
    You can easily print your transcript of records any time by yourself (also after your return home) via your u:space account. You will find the transcript of records in the menu item "Personal Matters" --> "My Documents"). Transcripts of record which are printed via u:space have an electronic signature which declares them as valid.

  • Print it via the self-service Terminals (SB Terminals)
    Should all your marks appear in your u:space account already before your departure, you can print your enrolment documents and your transcript of records on one of the self-service Terminals.

  • Get it from the International Office or the StudyServiceCenter
    Should all your marks appear in your u:space account already before your departure, you can have your transcript of records printed by the International office or your StudyServiceCenter (bring your student ID card with you).

  • Have it mailed or emailed to you
    Once all your grades show up in your u:space account, we can email or mail your transcript of records by request in case your home university does not accept the electronic signature on the document. Please provide a delivery address where we can send it to in case you need it via post.
    Due to technical reasons it might happen that marks which you can see in u:space under the item "Records of Examinations" do not appear in the transcript of records on the same day. Therefore please do check in your u:space account under "My documents" if your transcript of records has all your marks before you request a copy sent to you by the International Office via mail or email.

Should you encounter any problems regarding your marks please refer to the course instructor, the department's central office or to your mobility coordinator at the University of Vienna. 

It usually does not take longer than one month for a mark to be entered into the system; this means, however, that most likely not all of your marks will show up in your u:space account at the time of your departure. Should you urgently require a mark earlier, please discuss this with the course instructor in good time before your departure.

3. De-register your residence

Before you depart from Vienna you have to de-register your residence at a Municipal District Office. You can do this not earlier than three days before your departure.

For the de-registration you need the following documents

  • the travel document which you've used to enter Austria (e.g. passport)
  • completed residence registration form "Meldezettel" WITHOUT the signature of your landlord. Old registration forms and confirmations are not required.

There are no fees charged for the de-registration. You can arrange an appointment for the de-registration online (in German), however, this is not mandatory.
