From 19 to 21 May 2025, the University of Vienna welcomed staff members from 8 partner universities across 9 countries to its third edition of the Circle U. Staff Days. The event offered an engaging platform for knowledge exchange, professional networking, and cross-institutional learning – with more than 30 participants representing Circle U. partner universities, highlighting the alliance’s spirit of collaboration.
Throughout the three-day event, participants took part in five carefully curated thematic tracks hosted by various University of Vienna service units. Topics included library and archive services, communications, quality assurance, research and career development, and student services – the latter in cooperation with the International Office. These thematic tracks sparked in-depth dialogue and exchange on institutional best practices, digital innovation, student mobility, and collaborative tools.
A particular highlight of the Circle U. delegation was the series of thematic meetings where project leads and members had the chance to discuss upcoming activities, share progress, and strengthen strategic coherence across the alliance. The meetings facilitated open discussion across key focus areas such as communication and dissemination, student engagement, and the development of educational activities. These working sessions deepened mutual understanding and paved the way for concrete next steps in reaching the goals of the alliance.
“My colleagues and I at the University of Vienna were pleased to host and facilitate the first joint in-person meeting of Circle U. professionals from study administration, mobility, and communication. The Staff Days offered an excellent opportunity to exchange ideas, share best practices, and foster collaboration across the alliance,” says Siina Karbin, Deputy Head of Student Mobility Team, Programme Coordinator at the University of Vienna.
Of course, the event wasn’t all work. A memorable social programme added warmth and Viennese flair to the experience. After a guided tour through modern Vienna, guests gathered for an evening in one of Vienna’s most traditional wine taverns, situated in the historic 19th district. Beneath leafy chestnut trees and among centuries-old architecture, participants enjoyed authentic Austrian dishes and tasted a range of regional wines. The evening offered not only culinary delights, but also space for relaxed conversations and new friendships, adding a special touch of local culture to the international gathering.

Staff Days 2025 once again highlighted the value of in-person exchange and the potential of our European university alliance.
