I have handed in all the documents required at the International Office. However, how do I obtain my ERASMUS grant?

1) After submitting your application in the International Office, you will be sent a registration code for the ERASMUS online data base of the Austrian Agency for International Cooperation in Education and Research  (OeAD).

2) Please use this code to log in to https://asp.sop.co.at/students/LoginServlet, check/complete your data (bank account and address) and save them. These data will be used by the Austrian Agency for International Cooperation in Education and Research  (OeAD) as the basis for its agreement with you regarding ERASMUS grant.

3) Approximately 2-4 weeks BEFORE the start of your stay abroad, you will receive an e-mail confirming that you have been awarded a grant (“Zuerkennungsmail“) from the Austrian Agency for International Cooperation in Education and Research  (OeAD). This means that an agreement regarding your ERASMUS grant can be downloaded from your ERASMUS online account.

4) Please print out two copies of the agreement, sign them and send both (!) copies to the office of the Austrian Agency for International Cooperation in Education and Research (OeAD) (before starting on your trip):

How should I proceed with the Learning Agreement and the signatures which are required?

  1. Fill in the Learning Agreement as agreed with the host institution (Learning Agreement Sample Form - Fill-In Helper)
  2. Obtain the signature of the host institution
  3. Obtain the proof of language skills (if needed)
  4. Visit your study programme director: show proof of language skills and Learning Agreement
  5. Clarify recognition of ECTS/ record in Diploma Supplement and obtain signature from study programme director
  6. Hand in your complete application in the International Office

Can I still apply for a scholarship if I have already started my internship?

No, applications for internships which have already started are not possible.

I have already completed my internship and would like to apply for the scholarship afterwards. Is that possible?

No, applications for internships which are already completed are not possible.

My internship lasts 8 week. Can I apply for a scholarship?

Please mind that the minimum duration is 2 calender months. A scholarship for an internship of 8 weeks is not possible. If you would still like to apply for the scholarship, please discuss with the receiving institution if an extension of the internship is possible.

My internship is paid. Will I still receive the scholarship?

Yes.  The Erasmus internship scholarship will be granted irrespective of any salaries/ allowances you may receive from the receiving institution. The grants are independent of the salary.

Can I get an academic leave of absence ("Beurlaubung") while I am away?

No. An academic leave of absence ("Beurlaubung") cannot be granted for the period of an ERASMUS internship. The internship counts as an active part of the study period, therefore a leave of absence is not possible.

Can I apply for the Erasmus grant if I do an internship in a country of which I hold the citizenship?

Yes, it is possible. For example as a German citizen you can apply for an Erasmus scholarship for an internship in Germany. Your citizenship is in that case not relevant. The determining factor is where you submit the application and that the University of Vienna counts as your home university.
